We're looking for a kick-ass Office/Studio Manager to look after our London Studio and all our brilliant Potatoes. At Potato we design and build websites, tools and apps for huge audiences, for the likes of Google, Tate and the Natural History Museum. We are proud to be a part of the AKQA network.

The Studio Manager is a key role in our studio in Central London. You’ll be helping us to maintain an environment that we are proud of and want to continually improve. Our studio needs to be greater than the sum of its parts - we believe managing a Potato Studio is about designing and running a whole set of inter-connecting experiences. Sure, there’s facilities stuff to do - IT, desking, bookings, purchasing, but it’s really about making experiences work and delight. This means that as Studio Manager in our biggest studio you will take a lead on how that studio environment develops, ensuring that the studio continues to be a progressive, productive, happy and fun place for our Potatoes and our clients to innovate, work, play, think, eat and drink!

A Potato Studio is often hectic, but the atmosphere is always cheerful and supportive. You’ll be providing an environment that caters for Product Teams - who are working together, or alone, in standup mode, in sit-down mode and in collaborative and workshop mode. There will never be enough meeting or workshop areas, so sometimes you’ll need to help set up external spaces.

This is a full-time role starting ASAP.

You will be responsible for…

  • Being the face/tone of Potato as the first point of contact for all clients and visitors
  • The upkeep, appearance and physical efficiency of the office, including arranging repairs and revamps of office space ensuring it’s an optimum work environment for productivity and wellbeing
  • Maintaining our free lunch system. You’ll make sure we are always topped up with food and drink
  • National and international travel including trains, flights, hotels and car rentals
  • Understanding and ordering IT kit - both hardware and licences - including phones, laptops, monitors and other audio/visual equipment and helping with their set up and maintenance
  • Health and Safety, technical and physical workstation set up as well as meetings rooms, kitchen and break out spaces, including training and fire safety
  • Office moves, both internally within the studio but also any potential actual office moves, so being familiar with our tenancy agreement

You should be able to demonstrate...

  • Experience working in a fast-paced, dynamic, technical and creative environment, ideally an agency
  • Ability to create, maintain and quality-check administrative documentation
  • Attention to detail and diligence when chasing down tasks
  • Confident and professional handling of email enquiries, visitors and fielding of phone calls
  • Desire to managing and continually improve the office environment
  • Ability in designing and managing high-paced and multi-disciplinary studio/office experiences
  • Experience working with Coaches (Project Managers), Designers, Developers
  • Experience working with exec or leadership teams
  • Facilities and supplier management experience
  • Budget management and purchasing experience
  • Proactivity, ability to walk the floor, think ahead and spot issues in a studio/office environment before others do - fix before others escalate!
  • Quick, thorough and friendly client and team communications
  • Handling and effectively solving problems in a fast-paced environment
  • Self-motivation and ability to motivate others

  • Rapidly organising diaries, events and travel
